REQUIREMENTS
KEY RESPONSIBILITIES
The Director of Facilities will lead the Facility Management ('FM') standard, KPIs and SLAs within our HQ facility in NY as well as across other North American sites (Miami, Hunt Valley, Morris Plains, Calabasas, Toronto & Montreal.) This role will ensure operations are streamlined by setting efficient and effective standard operating procedures and common processes for core operations inside the facilities by aiming for \"best in class\" standards currently offered across the company. These core areas include facility/office management and maintenance, client services and reception, vault and mailroom, asset acquisition, tracking and disposition, environmental health & safety, and security.. Proactively manage on-going operations from leases negotiated by Corporate Real Estate. Develop local Real Estate & Facilities Management Strategy, guidelines, standards, KPIs (success metrics) and reporting. FM scope includes : Maintenance, Custodial, Reception Service, Mail & Package, HSE, etc). Manage facility budgets, including capital, maintenance and repairs. Assist in annual forecasting as well as scoping of special projects. Track and analyze budgets and makes recommendations / manage implementation for service improvement opportunities across the portfolio. Serve as facilities management subject matter expert (SME) providing consultation and deployment of best practices for local adaptation. Direct team to prioritize building needs, prepare requests for proposals, summarize responses and recommend contractors for various construction projects.. Manage regional/national vendors for facilities repair, maintenance and employee services.. Manage equipment inventories and asset tracking processes. Inform corporate and business unit management on facility conditions, responsibilities and decisions. Identify and consolidate Innovations and best practices to promote and deploy (primarily through other Coty locations, FM suppliers and strong benchmarks). Work with facility/office managers to trouble shoot issues as they arise. Collaborate with Procurement on all supplier contracts (supplier sourcing and FM category strategy, negotiation, contract management, supplier relationship management). Partner with Corporate Real Estate department for FM category strategy to ensure buy-in. Provide coaching, direction and leadership support to team members to build a high-performing, cohesive global team. Develop and direct implementation of space utilization plans in concert with IT and Project Management. Key contributor to planning and design of facility expansion and renovation. Develop scenarios for space optimization based on Coty needs and real estate market opportunities, in collaboration with Corp. real estate team.. Maintain landlord and property management relationships, participate in lease negotiations for acquisitions, renewals or lease terminations with Corp. real estate team.. Contract with and direct all external contractor services. Ensure conformance to building standards and specifications, including project costs and construction schedules. Ensure full compliancy with EHS control and reporting procedures in-line with country regulations and Coty requirements (including in R&D area). Responsible for risk assessment activities and reporting for EHS. Maintain confidential and company sensitive information. Bachelor's degree or equivalent experience. Minimum of 10 years' progressive experience in facilities, maintenance or operations, with a proven track-record in leading successful teams. Strong project management skills or certifications. Ability to work autonomously. Able to communicate skillfully and professionally with internal and external stakeholders. Adept at analyzing problems and recommending solutions. Discretion and ability to handle complex and confidential circumstances. Must be willing to flexible schedules and weekends for high-risk projects or emergencies as needed. Prior industry experience inclusive of large-scale capital projects and facility management and experience leading multiple facility functions. Experience in both Laboratory, Office environment and common collaborative space as an asset to the local organization and people experience / Coty culture emphasis. Experience in leading and implementing companywide /central processes. Knowledge of EHS, OSHA regulations and local building codes and requirements.
